 School Dances Committee Notebook:

Brief Description:

1) Coordinates Back to School Dance in September and a dance in the winter (to be coordinated with administration).  Responsible for securing a D.J, chaperones and light refreshments. Also, communicate the needs of the Sprit Team at PTA meetings.  Staff representative for Spirit team is Katie Rusu (MVMS counselor).   
2) Spirit Team Support – a staff member or a parent volunteer can run the Spirit Team.  The Spirit Team plans several spirit days throughout the school year and chooses dance themes. 

Responsibilities include:
  • Attend Spirit Team Meetings - meetings are held bi-monthly or monthly
  • Communicate needs of Spirit Team at PTA meetings
  • Provide/organize refreshments for Spirit Team meetings.
  •  Work with school representative.

* Support provided by Spirit Team for school dances include: choosing a theme, creating posters and announcements.  However, it may not be possible because of time restraints for the Back to School Dance.

Calendar at a Glance:

Prior to August-   Select a potential date for the school dance.  Dates need to be coordinated with School Administration. Once a date has been selected and approved, submit down payment to DJ. Please refer to the Volunteer Resources  page for the process of payment.  If possible, both school dances can be established and secured at this time.

AugustResponsible for securing chaperones (ongoing) giving instructions to lunch hall monitors for ticket sales.
Attend and provide snacks for Spirit Team Meetings (if being held this month).

SeptemberResponsible for securing chaperones and light refreshments. Create and sell tickets.    Choose a donation for students to provide upon arrival of dance.  This is optional for attending students.  Past examples would include old cell phones for recycling, pajamas for underprivileged children, winter clothing for those less fortunate and tissue boxes for MVMS staff.  Attend and provide snacks for Spirit Team Meetings (if being held this month).
After the dance, send thank you notes to the staff members that attended the dance (preferably hard copies if possible).

Guidelines for Chaperones:

  • There must be a minimum of 12 chaperones for the dance to proceed.
  • The back of the student ticket MUST include a parent signature and a phone number where the parent can be reached between 7-9 PM. 
  • If purchasing a ticket at the door, a parent MUST park and accompany their student inside the building to buy and sign the ticket.

During the Dance:
  • NO Break Dancing
  • NO Running
  • NO inappropriate dancing.  If you are uncomfortable looking at it, then it is inappropriate.
  • Monitor bathrooms
Dismissal at the conclusion of the dance:
  • At the end of the dance, parents MUST ENTER THE BUILDING, specifically the cafeteria for pick-up.   For safety concerns, students cannot be released to the parking lot. 
  • It is the expectation that ALL students will be picked up by 9:00 PM.  Failure to do so may result in student being denied attendance at future activities.  

Helpful Hints:
Please make sure this reminder is posted in an email (via Mrs. Littlejohn) to parents on the day of and/or one day prior to the dance:

School Dance Guidelines:

  • Only MVMS students are allowed to attend the dance.
  • Students are required to have their parents/guardians sign the ticket prior to the night of the dance including a phone number where the parent can be reached between 7-9 p.m.
  • Tickets will be available the night of the dance at the door but parents must accompany child to ticket counter to purchase ticket.
  • At the end of the dance, parents MUST ENTER THE BUILDING to pick up their child. For safety concerns, students cannot be released to the parking lot.
  • It is the expectation that ALL students will be picked up by 9PM. Failure to do so may result in student being denied attendance at future activities.

Snacks:
The snacks we have provided in the past have generally been pretzels, Nilla Wafers and generic vanilla and chocolate cookies (similar to oreos but not as expensive).  We have purchased lemonade and water for drinks (some years there has been left over soda from other PTA sponsored events that the PTA has allowed us to use as well but we have not purchased any specifically for the dance).  As far as quantities, usually plan on around 250 kids coming to the dance.  So, with that said, I have purchased 2 large bins of pretzels, 2 large boxes of Nilla Wafers, 4 containers each of vanilla and chocolate cookies, 2 large cans of pink lemonade, 15 gallons of water (use the water from the kitchen to mix the lemonade instead of using the gallon jugs of bottled water), 400+ 10-12 oz cups (these are used for both drinking and to contain the pretzels), several permanent markers to encourage kids to re-use their drink cups by labeling with their names.  If you get the bulk size that is sold at Costco, you should be good with the numbers I provided above.  (This information provided by Ann Osten ~ September, 2012.)
